Personal Device Acceptable Use Policy
Overview
The Seattle School recognizes that some faculty and staff will choose to use their own computers or other devices, including but not limited to cell phones and tablets. Faculty and staff using their own devices on The Seattle School’s network or to access Seattle School systems remotely will be expected to meet the following requirements:
Policy Detail
Passwords
All devices must be protected by a password (see Password Policy for password guidelines). Passwords should not be shared with anyone (family members, co-workers, etc.), if the device is being used for Seattle School business. If the device is shared with others, it is recommended that you create a separate user account that is used only for work on that device.
Locking
Personal devices used for Seattle School business should be set to auto-lock after 10 minutes, requiring the employee to re-login to regain access.
Antivirus
Any personal computer on the internal network, or remotely accessing The Seattle School applications is expected to have up-to-date antivirus protection (see Antivirus Policy for guidelines).
Downloading Sensitive Information
Sensitive data, particularly data containing PII (Personally Identifiable Information), should not be downloaded onto personal devices. Reports that must be downloaded to access should be uploaded to Google Drive and deleted immediately after downloading. The file should be deleted completely from the machine either by emptying the trash/recycle bin or bypassing it altogether.
Backups
No backups will occur on personally owned devices. We strongly encourage employees to save all documents to Google Drive.
Damage
The Seattle School does not maintain personally owned computers or other devices. The Seattle School is not responsible for the maintenance or replacement of personally owned computers or other devices in the event of computer or device failure.
Acceptable Use
Users of personal devices on The Seattle School’s network or when accessing Seattle School systems are solely responsible for any illegal content on their device or any illegal activity their device engages in (see Acceptable Use Policy for more details).
This includes, but is not limited to:
- Possession or distribution of illegal content (e.g., pirated software, copyrighted material without permission, illegal images or videos).
- Any attempts to scan the internal network, probe for vulnerabilities, or otherwise attempt to subvert the security protections of the network.
- Using the device to engage in any form of cybercrime, including hacking, phishing, or denial of service attacks.
- Violating data protection laws by mishandling or unauthorized sharing of sensitive information.
Users must ensure their devices are free from illegal content and are not used for any illegal activities. The Seattle School reserves the right to immediately revoke network access and system privileges from any device suspected of illegal activity, and to report such activities to appropriate law enforcement agencies. Users may be subject to disciplinary action, up to and including termination of employment or enrollment, for any illegal activities conducted using personal devices on The Seattle School’s network or systems.
